Calculate PTO accrual rate per pay period and hours accrued
Frequently Asked Questions
Accrual rate per pay period = Annual PTO hours ÷ Number of pay periods per year. For example, 80 annual PTO hours on a biweekly (26 pay periods/year) schedule accrues 3.08 hours per paycheck.
Multiply your per-pay-period accrual rate by the number of pay periods that have already occurred this year, then subtract any PTO hours you've already used.
Some employers, especially for hourly employees, accrue PTO per hour worked instead (e.g. 1 hour of PTO per 30 hours worked) rather than a flat amount per paycheck — check your specific employer's policy, since accrual methods vary.
This depends entirely on your employer's policy and state law — some plans allow full rollover, some cap the rollover amount, and some are 'use it or lose it' (though a growing number of states restrict or ban forfeiting earned, vested PTO).
Many employers cap how many PTO hours you can accrue at once — once your balance hits the cap, further accrual pauses until you use some PTO and drop back below it. Enter your policy's cap to see whether it would limit your calculated balance.
